Payment reminder email subject lines

A reminder email only works if it gets opened. The best subject lines name the invoice, state the status, and match the stage. Here are 25 to copy.

Before the due date

Friendly nudge (day 1 to 3)

Firm reminder (day 7 to 14)

Final notice (day 30+)

Rules for writing your own

  1. Include the invoice number. It lets the client search their inbox and finance team match it.
  2. State the status. "Due", "overdue", "final notice". Don't make them open it to find out.
  3. Add the amount or a date in firmer stages.
  4. Keep the thread. Reply to your original invoice email so the history sits underneath.
  5. Don't use all caps or exclamation marks. They trigger spam filters and read as desperate.

Full email wording for each stage is on the overdue invoice email templates page.

Questions

What is the best subject line for an overdue invoice email?

Include the invoice number and the status, such as "Invoice #1042 is 9 days overdue". It is specific and easy to find later.

Should I put the amount in the subject line?

Yes for firm and final stages. For a friendly nudge, the invoice number is enough.

Should I reply to the original invoice email or start a new one?

Reply to the original thread when you can. The invoice and your earlier reminders stay visible to the client.
