Final notice email for an overdue invoice
A final notice is the last email before you act. It needs three things: the exact amount, a hard deadline, and a consequence you will really carry out. Pick the version that matches your contract.
Version 1: pause work
Best for ongoing projects. It is the strongest lever because it costs the client something.
Subject: Final notice: invoice #[number], work paused on [date]
Hi [Name],
Invoice #[number] for $[amount] was due on [due date] and is now [X] days overdue. I followed up on [dates] and have not had a reply.
I will pause all work on [project] on [date] unless payment is received in full by then. Work resumes once payment clears.

Version 2: late fee
Only use this if the late fee is written in your contract or invoice terms.
Subject: Final notice: invoice #[number] and late fee
Hi [Name],
Invoice #[number] for $[amount] is [X] days overdue. Under section [number] of our agreement, a late fee of [amount or %] applies to balances unpaid after [N] days.
If payment is not received by [date], the fee will be added and the balance will be $[total].

Version 3: referral for collection
Use this only if you have a collections agency or attorney lined up and will really refer it.
Subject: Final notice before referral: invoice #[number]
Hi [Name],
Invoice #[number] for $[amount] is [X] days overdue and my previous reminders on [dates] have gone unanswered.
If I do not receive payment in full by [date], I will refer this account for collection.
If you want to resolve this without that step, reply by [date] with a payment date or a proposed payment plan.

This is general guidance, not legal advice. Collections rules vary by location. Check before you send a threat of any kind.
Do
- Use the exact amount and invoice number.
- Give a calendar date, not "within a week".
- Keep the tone flat and factual.
- List the earlier reminders so the record is clear.
- Offer a payment plan if you would accept one. It often unlocks payment.
Don't
- Don't insult, shame, or copy the client's boss unless your contract allows it.
- Don't threaten anything you will not do.
- Don't post about the client publicly.
- Don't send it before the earlier stages. See the full escalation.
After the deadline passes
Do exactly what the notice said, and do it the same day. That is what makes the next client pay on time.
Questions
When should I send a final notice for an overdue invoice?
Usually around 30 days overdue, after at least a friendly nudge and a firm reminder have been ignored.
Can I charge a late fee on an overdue invoice?
Only if your contract or invoice terms include it. Check the wording and your local rules before applying one.
Should a final notice be sent by email or by post?
Email is fine for most small invoices and gives you a dated record. For large amounts, consider sending a copy by tracked mail as well.
